The following is an account of the minutes taken at the Board of Trustees Meeting held on Monday, October 24, 2011.

Call to order by Fred Miller-Chairperson. Bruce Loyer held a prayer to open the Board of Trustees Meeting. Minutes were read.

 

Old Business:

Bruce Loyer needs help with the repair of light on end of Family Life Center. Doug Fraley volunteered to assist Bruce.

 

The entrance ramp has been repaired except for the stabilization of one rail.

 

The Eagle Scout Project is on hold due to school issues.

 

Fred Miller and Johnny Secrest repaired the door in the educational building with closers.

 

Door lock issues locksmith is working on. Michael Houser has informed of other issues with the doors. This could possibly be an issue due to signage.

 

New Business 

Reviewed lawn care contractors from which to request references and or interview.  The top three were 1) Blue Ridge Lawn Care and Landscaping, 2) All Out Services, 3) Newton-Conover Lawn Care. Fred Miller-Chairperson is to check the references of the first and proceed on down the list if the references gave any concerns.

 

Prioritization of previously identified projects listed below:

1)      Safe sanctuary related items at a cost of approximately $1000. This would include a wall mount TV/DVD in the nursery, a camera outside the nursery to view every space inside the nursery, camera in the sanctuary to view services while keeping the nursery, a motion activated surveillance camera at the children’s church, closures for door in educational building, first aid kit in educational building near children’s church, a window in the Pastor’s door, fix electrical outlet in Cindy’s classroom. Fred Miller has a Sony recorder he will donate.

2)      Rewire educational building. Engineering study of re-wiring. Bruce will ask Joel.

3)      Roofing issues in the AA and NA classroom. Roofing leaks in the bell tower and Sanctuary. Need to identify all the leaks.

4)      Wall in the Family Life Center. Water issue.

5)      Paint or replace windows in the old fellowship hall.

6)      Paving parking lots to include lines and paving the parsonage.

7)      Replace the sound system in the Sanctuary.

8)      Signage on Hwy 16. Possibly a flag pole.

9)      Remodel sanctuary bathrooms.

 

Addendum:

 

A brief “called” meeting was held Sunday, November 6, 2011 after the worship service. Members present were Fred Miller, Bruce Loyer, Jerry Lamb, Doug Fraley, and Pastor Jim Church. The purpose of the meeting was to vote who would be selected as winning bidder for the lawn care contract. A decision was made to offer the contract to Blue Ridge for the 2012 calendar year.  Fred Miller will work with Susan to notify and thank the unsuccessful bidders. Fred will also develop a letter for the current contractor and give them a thirty day notice of termination of their contract. Lance will review the letter and tweak it if necessary to ensure there will be no negative legal ramifications. Delay will be made on the snow removal contract until more information could be gathered from Blue Ridge regarding their interest in performing this task. This decision will be finalized at our next regularly scheduled trustees meeting.

Michael Houser had requested the trustees consider donating the water damaged piano to Jenkins Elementary School. Volunteers from the school would assist Michael in removing the piano and transporting it to the auction site. Since no member of the congregation or any other church or non-profit had expressed interest in the piano, the trustees voted to dispose of the piano by donating it to the school.

 

The Board of Trustees meeting was adjourned approximately 8:00pm. The next meeting will be held on Monday, November 28, 2011 at 6:30 p.m.

The following is an account of the minutes taken at the Board of Trustees Meeting held on Tuesday, September 6, 2011 at 6:30 P.M.

Call to order by Fred Miller-Chairperson. Pastor Jim Church held a prayer to open the Board of Trustees Meeting. Minutes were read.

 

Old Business:

Updating landscaping and janitorial contracts:

Fred Miller will update the annual contract for landscaping to include leaf removal. He will then turn over to Susan and she will send out spec and letters to vendors located in Newton and Conover to cut down on volume of bidders.

 

The light has not been repaired at the end of the Family Life Center by Bruce Loyer at this time due to time restraints.

 

The entrance ramp repair has not been completed ask Johnnie Secrest to follow thru with this with John Bisch who had quoted a price of $300.

 

Fire Marshal’s inspection and related repairs:

There were a number of issues to include exit lights, emergency lights. Bruce Loyer made all repairs except for an overhead light that is located as you go into the choir area.

 

Storage for backpack program:

In looking for storage in the room to the left of the stage in the cafeteria of the CDC Michael Houser found an assortment of surplus items the church did not take when the new part was completed. Gordon Hall made a motion that these surplus items be offered to the congregation with a time line. If no one in the church wants these items an offer would be made to another church, and if another church does not want these items they will be offered to a nonprofit organization. Jerry Lamb seconds the motion. There are also two surplus pianos. Christel Murray made a motion to offer the pianos to the congregation and if no one is interested to offer the pianos to another church. Terry Shull seconds the motion.

 

 

New Business

Owen Williams will begin his eagle project this fall which will include a bench area and honorary plaque for Dave Glover.

 

Fred Miller discussed an educational community garden using the lower space in the church property for the day care. This will teach children how to garden and more importantly this will be utilized as an Outreach for the church. The cooperative extension will work with the children per Fred Miller. The board gave their approval for development and proposal.

 

The water meter on the side parking lot leaked out approximately $800 of water. A letter was sent to the City of Newton requesting we not be charged for the sewer part of the bill. The City of Newton came out and stated the problem with the leak was our responsibility. Problem was fixed in a couple of hours after plumber came out. Problem was waiting on the city to come out.

 

Ladies bathroom in educational building needs a plunger.

The following is an account of the minutes taken at the Board of Trustees Meeting held on May 23, 2011 at 6:30 P.M.

Call to order by Fred Miller-Chairperson. Pastor Jim Church held a prayer to open the Board of Trustees Meeting. Minutes were read. Insurance Review Committee met prior to the above meeting to discuss insurance coverage. Bill Lutz from Twin City was present.

Old Business:

 

Updating landscaping and janitorial contracts:  There was a motion by Doug Fraley for all qualified bidders for janitorial services to respond by August 1, 2011. Johnny Secrest seconds the motion. Motion was unanimously passed. Fred will send letters out to all vendors on the pesticide list. Preference will be given to those with snow removal. Will be advised of the winning bid by mid September

The light has not been repaired at the end of the Family Life Center by Bruce Loyer at this time due to inclement weather. Doug Fraley will talk to Shannon about changing the light bulb that is out in the Sanctuary.

Painting of old Fellowship Hall has been completed. Joel Herman and Max Watson have volunteered to paint the Sanctuary doors. At this time this has not been completed due to time constraints.

The gutter was repaired by Johnny Secrest.

Johnny Secrest made a motion that the entrance ramp will be repaired by John Bisch at a cost of $300. Bruce Loyer seconds the motion. The motion was unanimously passed.

New Business

Will proceed with insurance policy with 6.1 million dollars of coverage. Workers Comp insurance will be with Hartford renewing at the same cost as 2010.

Owen Williams wants to do a Butterfly Garden for his Eagle Scout Project.  This will be completed near the arch.

Johnny Secrest will check on some less expensive water faucets.

Terry Shull will contact Phil Pringle for an air return as there is no air circulation around the ice machine.

Discussed inside activities that need to be cleaned and how we would proceed with the cleaning. Do we make a job list and ask for volunteers?

1)      Remove lady beetles and clean fluorescent lights in the connecting hallway

2)      Wash windows in Christina Life Center

3)      Scrub floor in the Christian Life Center

4)      Clean air return in CLC

5)      Change light in bathroom

6)      Polish pews and furnishings in Sanctuary

7)      Scrub wall near elevator area

8)      Scrap and Paint outside windows

9)      Prune spring blooming plants

10)  Dispose of items piling up around the Church
